Transcribing audio recordings can
work in the following ways:-
By using a compatible digital voice
recorder, you will be able to send your audio files
to us with ease.
This can even be done while travelling;
providing you have internet access via a laptop.
No rush to get back to the office in order to start
work. We can start transcribing your work straight
away allowing you to meet the tightest possible
deadlines…
- Dictate/record directly into your
handheld voice recorder or your computer or laptop
microphone dictation program – if you have
one.
- Download the file to your computer
or laptop. And choose any of the following methods.

E-mail your digital sound file as an attachment
to enquiries@totallytyping.com
using your preferred file format e.g. dss, wav, mp3
etc….
o
Upload files to our secure server (contact us for
password details and instructions
will be given on request).
o
Save work to CD or Memory stick and send to us via
post or courier (please
call or email first).
- We will download and transcribe
the work and once the project has been completed;
email the finished document (normally Word) back
to you as requested within a previously agreed
timescale together with our invoice.
- As soon as we have received your
files we will acknowledge receipt.

How long does it take to transcribe
1 hour of recorded speech?
In general, we speak 3/4 times faster
than even the most experienced typist can type.
Therefore, the industry standard allows ONE hour
to transcribe 15 minutes of clearly recorded speech.
Consequently, a ONE hour recorded audio file could
take 3/4 hours to transcribe. An equal period of
time of the recording duration should be allowed
for proof-reading, printing, and posting the transcription,
(if these are requirements).
So accordingly, a clear recording
of an hour in length could require 3 - 4 hours work.
A longer time period would be needed if the recording
is very unclear. However, we will inform you asap
if the recordings are proving difficult –
so as to prevent you incurring additional charges.
Types of Transcription offered
Intelligent
An 'Intelligent' transcript edits
the words to develop a manuscript suitable for publication.
Contractions are expanded ("'cause" becomes
"because") and grammatical errors corrected.
This is the ideal option when a transcript is to
be broadcast or distributed, especially to readers
who were not present when the audio was recorded.
THIS IS OUR DEFAULT STYLE.
Unless you request otherwise, your work will be
typed as Intelligent Transcript.
Verbatim
'Verbatim' transcriptions are usually
requested by academic institutions and researchers
who need to be able to accurately recreate interviews.
Every pause, cough, "umm" and "err"
is noted, and all words are typed as said (such
as "yeah" and "'cause")
Intelligent Verbatim
'Intelligent Verbatim' transcripts
record the words verbatim, but omit other utterances,
background noises and interruptions. These are used
to transcribe Police and Legal interviews or where
the exact responses need to be recorded.

Virtual Assistant Services
- Copy Typing/Word-Processing
– Send us your handwritten documents. We
will reproduce them into professionally typed
documentation. Send them back to you as a word
documents – via email, post, or as a file
saved to CD, DVD or a USB memory stick. Both these
services are charged on a word count basis of
per 1000 words, which is calculated on a pro rata
basis. £12.00 - £14.00 (per
thousand words).
- Internet Research
– Using the Internet to conduct important
research is one of the most productive methods
used to gather relevant information nowadays –
it can however, be very time consuming. We can
research most topics and produce reports if necessary.
£20.00 (per hour minimum – depending
upon the nature of the project).
- Telemarketing/Telesales/Appt.
Booking (Business to Business, Residential &
Consumer) £10.00 - £14.00
(per hour– depending upon nature of the
project).
Analogue Transcription
We can also accept and transcribe
dictation or interviews that have been recorded
onto:-
- Audio cassettes (mini, micro &
standard)
- Mini-discs
- CD’s
- DVD’s
We will accept these items via 'Special
Postal Delivery' or sent by courier.
What size jobs will you take
on?
We will undertake most transcription
projects. Please contact Joanne regarding your requirements
for very large files, or work over a long duration,
to obtain a quote and agree timescales.
How do you guarantee the confidentiality
of my work?
At TotallyTyping.Com we are familiar
with the requirement of absolute confidentiality
and would be prepared to sign a Non-Disclosure or
Confidentiality Agreement if you so wished.
Can we meet to discuss requirements?
The majority of work undertaken by
TotallyTyping.Com is completed without actually
meeting the client. On occasion, however, it can
be beneficial to meet at the initial stage of a
large project, in order to further develop a clear
understanding of the key business requirements.

What are your normal business
hours?
Our normal business hours are:-
- 8.30am – 6.00pm (Monday to
Friday)
Do you work over weekends
and Bank Holidays?
Yes, we are able to accommodate requests
for urgent completions e.g. work required outside
of normal office hours, on a weekend or Bank Holiday
by agreement.
This work would be subject to an ‘Urgent
turnaround surcharge’.
What information do you need
from me before commencing a task?
If we have not worked with you before,
we will want to discuss the nature of the work and
your exact requirements. Our regular clients are
able to download files at any time via our secure
upload facility, with details explaining any urgency
or deadlines they may have, and we will complete
the task, calling them only if clarification is
needed.
- A signed copy of our Client Agreement
Form including our Terms & Conditions of Business
is required before any work can commence.
What backups do you keep?
All work is backed up externally daily
to protect your completed documents and deleted
from our system after 6 months. Extra copies of
any work requested can be supplied to CD. We do
charge a small fee for this service.
What equipment/software do
you use?
We currently use Express Scribe digital
audio transcription software, which is compatible
with a range of audio formats including DSS, WAV,
MP3 and WMA etc… and Microsoft Office Suite.
How do you ensure that your
computer network remains Virus-Free?
Our computers and mail server run
anti-virus software to ensure that PC virii are
not passed on, and our network is protected by a
firewall to guard against unwelcome prying.
My email service provider
will not allow me to send large attachments. How
can I get large digital audio files across to you?
This can be done easily through our
secure file upload facility, whereby clients can
send through those files which would normally be
blocked by email systems.
How will you send the finished
product to me?
You can request the finished documentation
back to you via any method that is most convenient
to your business. Whether via Royal Mail (First
Class Post, or Special Delivery). Work/files saved
onto hardcopy - CD’s, Floppy Disks, USB pens,
or you can also receive a softcopy by email. If
you wish, the printed documents can be dispatched
to you by courier, at cost. Occasionally, some businesses
may require an emailed copy of the file for approval,
and once they have seen it, we can then post/email
the document directly onto their client.
What format will electronic
documents take?
We typically use Microsoft Word or,
if you prefer, Adobe's Portable Document format
(.pdf), formerly known as Acrobat format. This is
a platform independent format readable by any computer
once the free viewer software has been installed.
